AI policy
1. Purpose
At The Consultancy Growth Network (TCGN), we use artificial intelligence (AI) to enhance the way we work and to deliver greater value to our members. This policy explains how we use AI responsibly, with GDPR compliance, confidentiality, and trust at its core. It covers both how we use AI internally and how it may be applied in the services we deliver to members.
2. Scope
This policy applies to everyone working with or on behalf of TCGN, including employees, contractors, Growth Experts, partners, and members when engaging in TCGN-led activity. Our objective is to use AI safely both in our internal operations and member-facing services, content, and communications.
3. Approved tools
Microsoft Copilot (enterprise licence), which by default will not use our data for training the model and ChatGPT (Plus licence), opting out of training on our data. We take all reasonable precautions to ensure no data is shared to the Open language model.
We do not permit personal data or confidential information to be entered into unapproved AI platforms. Any new tool must go through a review before being added to our approved list.
4. How we use AI
Internally, AI supports efficiency in tasks such as drafting content, analysing trends, and improving processes to benefit the member experience. Externally, it may help us prepare insights, reports, and communications for members and prospects.
When using AI, we apply the following safeguards:
- AI training: Each member of staff at TCGN has had formal AI training to ensuring that we are using AI safely, effectively and for the benefit of the service we deliver to members
- Data protection: We do not enter personal or confidential data into AI tools except where approved and protected.
- Confidentiality: Sensitive information about TCGN or our members is never uploaded into public AI tools.
- Accuracy: All AI outputs are checked and validated by a human before they are shared or used in decision-making.
- Fairness: We recognise that AI can be biased or inaccurate and always apply judgement before using its outputs.
- Transparency: Where AI plays a meaningful role in creating content shared with members, we will be open about it.
- Vendor AI usage: When sharing data with vendors we explicitly state if it is confidential, and in certain circumstances will require a signed Non Disclosure Agreement. We set the expectation that vendors will use data with the same responsibility as we do, and not share personal data with unprotected AI tools.
5. Intellectual Property
- AI tools may be used to generate draft text, images, or analysis, but the final outputs shared with members are always reviewed and refined by humans.
- TCGN owns the rights to AI-assisted content produced for its business and members, unless agreed otherwise in writing.
- In order to secure ownership, we record both inputs and outputs from Generative AI for IP purposes. If anyone fails to do this then we are unlikely to secure these rights.
6. Approving New Tools
New AI tools may be adopted only after a review of their GDPR compliance, security, and suitability. A designated person within TCGN manages this process and updates the approved list. Until this process has been concluded under no circumstances can the new AI tool be used.
7. Responsibilities
- Everyone working with TCGN must follow this policy.
- A designated AI policy owner is responsible for monitoring compliance, approving tools, and handling any issues or breaches.
8. Internal monitoring
- We capture the usage metadata (e.g. user, time, prompt, etc.) which may be monitored or audited internally to ensure responsible, ethical and compliant practices and to prevent misuse.
9. Reporting Issues
If anyone becomes aware of inappropriate use of AI or a potential data risk, this should be reported immediately to the designated AI policy owner.
